Privacy Policy

Your trust matters to us - here's how we handle your info

Last Updated: October 30, 2025

Introduction

Look, we get it - nobody actually enjoys reading privacy policies. But this one's different 'cause we actually care about being straight with you. At Krythral Enclave Fitness, your privacy isn't just some checkbox we tick off. It's part of our commitment to treating you right.

We're a high-performance training facility in Vancouver, and yeah, we need to collect some info to run things smoothly - memberships, class bookings, performance tracking, that sort of thing. This policy breaks down what we collect, why we need it, and what we do with it. No legal mumbo-jumbo, just real talk.

By using our facility, website, or services, you're agreeing to this policy. If something doesn't sit right with you, let's chat about it before you sign up.

Information We Collect

We're not in the business of collecting data just for kicks. Everything we gather serves a purpose - usually making your experience better or keeping the gym running smoothly.

Personal Identification Info
  • Name, address, phone number, email - the basics for membership
  • Date of birth (gotta make sure you're old enough to throw barbells around)
  • Emergency contact details (safety first, always)
  • Payment info for memberships and services
  • Government-issued ID for membership verification
Health & Fitness Data
  • PAR-Q forms and health questionnaires (we need to know if you've got any limitations)
  • Injury history and medical conditions relevant to training
  • Fitness assessments and performance metrics
  • Training goals and progress tracking
  • Body composition measurements (only if you opt in)
  • Nutrition logs if you're working with our wellness consultants
Technical & Usage Data
  • Website activity - pages visited, time spent, that kind of thing
  • Device info and IP addresses
  • Gym access logs (when you scan in and out)
  • Class bookings and attendance records
  • App usage if you're using our member portal

How We Use Your Information

Here's the deal - we use your info to run the gym and make your training experience better. That's it. We're not selling your data to sketchy marketing companies or anything like that.

Membership Management
  • Processing your membership and payments
  • Managing class bookings and schedules
  • Facility access and security
  • Account communications
Training & Performance
  • Tracking your progress and goals
  • Customizing training programs
  • Nutrition and wellness planning
  • Performance assessments
Safety & Health
  • Emergency contact procedures
  • Health screening and waivers
  • Injury prevention protocols
  • COVID-19 safety measures
Communication
  • Class updates and schedule changes
  • Membership renewals and billing
  • Special events and workshops
  • Responding to your inquiries

We'll also use your info to improve our services - figuring out which classes are popular, when the gym's busiest, that sort of operational stuff. Nothing creepy, just smart business.

Sharing & Disclosure

We don't sell your personal info. Period. But we do need to share some data in specific situations:

Service Providers We Work With:
  • Payment processors - to handle your membership fees and purchases
  • Email & SMS services - for sending you class reminders and updates
  • Accounting software - 'cause taxes aren't optional
  • Booking platforms - to manage class schedules and reservations
  • Cloud storage - where we securely store your data
Legal Requirements

Sometimes the law requires us to share info. We'll disclose your data if:

  • We receive a valid court order or subpoena
  • It's necessary to comply with Canadian laws or regulations
  • There's an emergency involving potential harm to someone
  • We need to protect our legal rights or property
Business Transfers

If we ever sell the gym or merge with another fitness center (unlikely, but you never know), your info might transfer to the new owners. We'd let you know if this happens and make sure your data stays protected.

Data Security

We take security seriously. Your data's locked down with industry-standard protection - encrypted storage, secure servers, restricted access, the works. Only staff who need access to do their jobs can see your info.

Encryption

SSL/TLS encryption for all data transmission

Secure Storage

Protected servers with regular security audits

Access Control

Limited staff access on a need-to-know basis

Real Talk: No security system's 100% foolproof. We do everything we can to protect your data, but there's always some risk when transmitting info online. Use strong passwords and let us know immediately if you think your account's been compromised.

Data Retention

We don't keep your info forever. Here's how long we hang onto different types of data:

Data Type Retention Period Reason
Active Membership Records Duration of membership Operational necessity
Inactive Membership Records 2 years after cancellation Re-activation and tax purposes
Financial Records 7 years Canadian tax law requirements
Health & Fitness Data 1 year after membership ends Reference for returning members
Marketing Communications Until you unsubscribe Consent-based
Security Footage 30 days Safety and security

Once the retention period's up, we securely delete or anonymize your data. If you want your info removed earlier, check out the "Your Rights" section below.

Your Rights

Under Canadian privacy law (PIPEDA), you've got rights when it comes to your personal data. Here's what you can do:

You can request a copy of all the personal info we have on you. We'll send it to you within 30 days, free of charge (for the first request, anyway). Just shoot us an email or ask at the front desk.

If something's wrong or outdated in your records, let us know and we'll fix it ASAP. You can update most info yourself through your member portal, or we'll handle it for you.

Want your data gone? We'll delete it, with a few exceptions - like if we're legally required to keep financial records or if there's an unresolved dispute. Otherwise, consider it done.

Changed your mind about something you agreed to? You can withdraw consent anytime. Note that this might affect some services - like, we can't track your progress if you don't want us collecting fitness data.

Don't wanna hear from us? You can unsubscribe from marketing emails anytime by clicking the unsubscribe link. You'll still get important stuff like billing notices and class cancellations though.
How to Exercise Your Rights

Email us at info@krythralenclave.info with the subject line "Privacy Rights Request" or drop by the gym and chat with our manager. We'll verify your identity (gotta make sure we're not giving your info to some random person) and then handle your request.

If you're not happy with how we've handled your request, you can file a complaint with the Office of the Privacy Commissioner of Canada.

Cookies & Tracking Technologies

Yeah, we use cookies. Not the chocolate chip kind (though we wish). These are small files that help our website remember you and work better.

Types of Cookies We Use
Essential Cookies

These keep the site running - login sessions, shopping cart, that kind of thing. Can't really turn these off or the site won't work.

We don't need permission for these 'cause they're necessary for basic functionality.

Analytics Cookies

Help us understand how people use the site - which pages are popular, where folks are getting stuck, etc. We use Google Analytics for this.

You can opt out of these through your browser settings.

Preference Cookies

Remember your settings like language preferences or whether you want the site in dark mode. Makes your experience smoother.

Totally optional but makes life easier.

Marketing Cookies

Track your visits across different sites to show relevant ads. Mostly used if you've seen our ads on social media or Google.

You can disable these and we won't be offended.

Managing Cookies

Most browsers let you control cookies through their settings. You can block all cookies, delete existing ones, or get notified before they're set. Just know that blocking essential cookies might break some site features.

Check your browser's help section for instructions on managing cookies - Chrome, Firefox, Safari, Edge, they all handle it slightly differently.

Third-Party Services

We work with other companies to make everything run smoothly. Here's who might have access to some of your data and why:

Service Type Purpose Data Shared
Payment Processors Handle credit card and payment transactions Payment info, billing address
Email Services Send you updates, reminders, newsletters Email address, name, membership status
Booking Software Manage class schedules and reservations Name, membership info, booking history
